Summary and scope
Penrith City Council currently manages a business paper system which administers Council’s formal reporting process across over 15 different business paper types and in excess of 1000 reports a year. The system would be used and accessed by approximately 200 staff on a weekly if not daily basis. Council is calling for responses from suitably experienced and qualified vendors to provide a Business Paper System Solution which includes the following: - Cloud based agenda compilation capability to allow access anytime anywhere. - Multiple simultaneous access to facilitate collaborative working on documents. - Workflow management and integration with Council’s Information Management and Case Management systems to allow task and action allocation. - Ability for distribution and/or access to both internal (staff and councillors) and external (the public) - Customisation to allow branding and formatting to be consistent with Council’s branding guidelines. - Solutions to allow for the inclusion of late documents. - Ability to have classes on confidential to assist manage sensitive documents. - Version control and high-quality search features. - Training of staff as required. End User and technical documentation. - Implementation of end-to-end functionality and processes to meet Penrith City Councils technology and security requirements including SSO. - Setup and Configuration of the selected solution including information architecture, metadata schema and taxonomy.
